WEB BASED CALENDARING/INVOICING/CONTACT MANAGEMENT

I placed this yesterday but am replacing it up for bid because of some significant changes i've made to what i will and won't accept and don't want confusion or complaints. 1. no bids over $2500 2. you MUST have experience with more intense coding like this. 3. ALL the things you see below MUST be able to interact/interoperate with each other 4. I can host just about anything - see the "platform" section below. BUT NO MS ACCESS (filemaker a MAJOR PLUS!) 5. *VERY IMPORTANT* - please see the DELIVERABLES section FOR SCREEN SHOTS OF WHAT I'M LOOKING FOR WHAT'S NEEDED: Completley internet based database system. NOT in access, BUT FILEMAKER IS A MAJOR PLUS! 1. CONTACT DATABASE - some sort of a client info database - contact management on an internet level where this database is accessable to all via the web with passworded access. 2. CALENDARING DATABASE - Secretaries and office assistants need to be able to enter and change (on the fly) details of where my technicians are scheduled to be, how long they will be there, what the contact info is for that company, etc.. and this needs to be accessable via the web so the techs can daily lookup their schedules (or by the hour or minute if they choose to refresh their browser like that) 3. INVOICING/TIMECARD DATABASE - When a client calls in to book time the secretary adds it to the calendar which in turn AUTOMATICALLY adds a time card to the database (or DELETES a time card if the appointment is removed) to be filled out later by the consultant when he's done. When he fills out his time card the system emails an invoice to the client and any other email addresses we add for that client. 4. FRONT END - ** IMPORTANT ** there's not enough room in this box for me to put the entire description - please see "deliverables" for info on front end. 5. OWNERSHIP - this software will be wholly owned by my company upon it’s completion and subsequent payment. It MUST be written in such a way that we’re not dependant on its original coder and we must have all source code in house, EXCELLENT COMMENTING required, etc... 6. TRADE SECRETS - you will have to sign a NDA to do this project. 7. ## Deliverables

FROM DESCRIPTION: 4. FRONT END - Some kind of web based front end for viewing/editing data based on permissions. Various permission sets allow different activities - One permission set allows viewing data only, another allows viewing and certain kinds of editing and yet another allows complete access and editing. User permission levels must be assignable by an administartor on the fly (ie: new user names, passwords, etc... need to be able to be assigned) **SCREEN SHOTS** - Calendaring - this is the heart of the whole thing - as items are added to the calendar, time cards NEED TO BE AUTOMATICALLY generated in the time card database etc.. Here's a screen shot of how i'd like it to look: [login to view URL] Month view is the only view that's necessary. Notice that each appointment is in red. This is because each is a link - when the link is clicked it brings up a page with client info as follows: [login to view URL] Also notice that the consultant name on the top left is selectable. So when consultant1 wants to see what is on another consultant's schedule, he selects him from the drop down menu and the screen automatically updates with consultant2's info. HOWEVER - when a consultant is viewing info that is not their own, there are no links - just info. Calendaring also needs to verify there is not overlap in scheduling. - Invoicing/timecard Database: Please see description above (in 'description' box) - when the tech is done onsite there needs to be a button for "timecards" (which leads him ONNLY to HIS OWN outstanding time cards) - the time card list should ONLy generate time cards for that particular day. Here's a screen shot of how i'd like the time card screen to look: [login to view URL] - FLOW CHART (in case this has all been very confusing): 1. client calls to book an appointment, secretary adds contact info to the database and adds an entry to the calendar. A time card is generated at 12:01am (eastern) the day of the appointment (or immediately if it's same day) 2. Every weeknight the tech's schedule is auto-emailed to him for his appointments the next day (client info, time, etc..). Tech can also choose to manually look at the calendar online. 3. When the appointment is finished the tech clicks the "timecard" button on the main page of the system and finds the timecard for that client, enters the info, then leaves. 4. The timecard system automatically emails the timecard/invoice to the client and whoever else we choose. ** DELIVERABLES ** Complete and fully-functional working program(s) in executable form as well as complete source code of all work done. Work must be WELL commented and easy to understand should i hire another proggrammer to edit/change anything. Complete copyrights to all work purchased. conditions of sale: - Excellent programming skills a must - 100% PLACED IN ESCROW - NOTHING PAID UNTIL COMPLETLEY FINISHED - I must see a functional model of all pieces no later than 30 days after commencement of work for testing purposes. Functional models prior to this date a plus - If you already have something lying around that you can put together that is a major plus - doesn't matter to me if other businesses are using your software as well. HOWEVER - THERE MUST BE ABSOLUTELY NO COPY RIGHT ties for us. We must own your finished product outright and it be 100% ours. We will not pay licensing, royalty or copyright fees.

## Platform

PLATFORM: i can host just about anything - win2k,php,sql,unix, macintosh,**FILEMAKER** I WILL NOT ACCEPT ANYTHING THAT INVOLVES MS ACCESS However - If you can code this to run on a macintosh (especially considering the fact that macs are now completley unix based) that's a major plus for me and you are one step closer to getting the deal. Specifically i'm looking for someone who will incorporate a filemaker back end (though that's not absolutely necessary if you prefer sql, etc..)- for those of you who dont' know what filemaker is: MS access is a cheap rip off of what filemaker is. Filemaker is the cross platform relational database of choice and it blows ms access away. However, i'm open to other options.

## Deadline information

We are not in a rush - we will not need the database completed until december. If you'd like to start early you may but we may choose not to put the money in escrow until the date of the close of the bidding.
