The purpose of the website is as follows: —> to provide for online workplace inductions —> to provide for online contractor inductions —> to deliver contractor work permits —> to host a document library - with both public and private documents —> to have a calendar of events for the building (such as fire alarm testing, roof top garden bookings etc) Pages: Home tenants contractors leasing Agents Contact Us Contractors They will have to complete the induction package online before they will be able to get on site. The package is about 4 A4 pages in length and will have 1-2 very small quizzes to be completed by students for accountability and tracking purposes. once the contractor has completed the course, the system should send them a confirmation that are now permitted on site, and a Unique Identifier (which could be a student no, email address, phone no etc). ideally this confirmation is sent to the contractor as a PDF (though i think this will cost extra - so the other option is just to do it as an email. Cost the PDF option and explain that the email option is free - or just the email customisation cost). Admin needs to be able to track who has done the course and they should receive an email each time a contractor completes the course. Contractor site certificates last for 12 months and then they will need to redo the course. Admin needs to know when site certificates expire. ideally a reminder is sent from the system automatically, say 14 days before (e.g. your AoP site certificate is about to expire. here’s the link to complete the Induction and renew your site certificate”). if the system cannot do this automatically, one option is to have a report that says who has completed the course by date - so you could for example run a report to find all people who completed the Site induction course in feb 2014 - they will all have expired. Then admin can select those students and send them all an email reminding them to come back and redo the course. Does that make sense? Workplace These are the people who work in the building. They need to complete the induction course so they understand the health and safety requirements of the building. Course is about 7 A4 pages long. Will probably also have v short quizzes. Admin needs to be able to see who has completed and not completed the course. Admin needs an email on completion. Both courses will only take less than 15 mins to complete. They are short and sweet! But quizzes will stop people from clicking through and not reading anything. Need to be able to search all records by Student or Company (for contractors and workplace tenants) to find who is enrolled and their status (not started, started but not complete, complete, date of enrolment and date of completion). Want to be able to send global emails to all enrolled people by course. Time it takes to get this up and running is important. We can possibly code reports after the system goes live.
